AI and management systems: Helpful sidekick or rogue intern

AI is everywhere right now. It can write poems, answer trivia questions, and apparently, make you dinner reservations. So naturally, people are asking: Can AI write our workplace policies, procedures and guidelines too?

The short answer? Yes… but mostly no.

AI is like that very eager intern who works fast, never sleeps, and seems to know everything about ISO 45001. It can churn out a 10-page procedure in seconds, suggest templates for your processes, or give you a head start on that tricky risk assessment.

But here’s the catch: our enthusiastic intern doesn’t always get it right. In fact, I can guarantee that AI doesn’t understand the finer points of your business, your people, orthe actual laws you need to follow. It can make things up (confidently), leave out important requirements, or produce something that sounds great but would never pass a regulator’s sniff test.

Have you ever watched ‘The Good Place’ (If not, get onto it…)? In the show there is a being called ‘Janet’ that knows everything about everything and can materialise whatever you desire. In one episode Janet gets rebooted and confidently keeps handing over cacti instead of what she’s asked for. If you’ve ever worked with AI, you can relate. At the end of the day, you still need enough expertise to know the difference between a cactus and the Eleanor Shellstrop file…. I mean, a compliant procedure.

That’s why human input is non-negotiable. A skilled consultant or in-house expert will:

  • Check that the policy meets the right regulatory and industry requirements
  • Adapt the content so it reflects your business’s actual operations
  • Make sure it’s clear, practical and achievable for your team
  • Remove any mysterious sentences that AI snuck in from who-knows-where

Think of AI as the drafting assistant. It can speed up the process, spark ideas, and save you time on the boring bits. But you still need human oversight to ensure your documents are correct, relevant and legally sound.
